New Online Filing in final testing phase - what does this mean for you?

Published on: 17 March 2025

News Classification:Online Filing

Online Filing is close to completing the development and testing phase. Going live is scheduled for the end of April 2025, provided all functionalities, including the PCT forms, are ready.
Below are the four main questions on preparing for Online Filing.

How can your office prepare for Online Filing?

  • Please have a look at the manual: It contains screenshots of forms, workflows and descriptions on how organisations work.  Open the manual.
  • Consult the BPP portal: Here you will find the latest news, manuals and instructions.
  • Training from the EPO: The generic version of Online Filing is available for functional training. It provides insights into the workflows and operation.  Please note that the Dutch Online Filing version will be slightly different.  Follow the training.
  • What will change for your organisation? Consider whether the new forms will affect the internal working methods within your office.

What steps should you take once the new Online Filing is live?

  1. Create account and set up two-factor authentication (2FA)
Register an account and set up two-factor authentication (2FA) via a QR code. You will find the instruction for this on the BPP portal as soon as Online Filing becomes available.
The Netherlands Patent Office will check your application and activate the users.
  2. Creating an organisation
A manager can create an organisation so that colleagues can work together on filings.
Once the organisation has been created, colleagues can be invited.
  3. Start submitting!
When you have created the organisation and colleagues have an account, you can submit patent applications and subsequent filings via the new Online Filing.

When will the new Online Filing go live?

Going live is scheduled for the end of April. However, the implementation of the PCT forms is still ongoing and we will go live only once all forms are available. As soon as the final go live date is confirmed, we will communicate it here on the BPP portal.

How long will the current Online Filing still be available for?

There will be a transition period of about two months after the final go live date.
During this period, you can still continue to use the current Online Filing. We advise you to switch to the new Online Filing as soon as possible.
